Terms and Conditions

PREAMBLE

These general Terms and Conditions apply to every attendee registered for a Congress announced on this website.

Before contracting the Services offered by the Medical Society and BOCEMTIUM CONSULTING SL (hereinafter, “the Provider”) on this website, you must read and accept the following Terms and Conditions drafted in accordance with Law 34/2002 on Information Society Services and Electronic Commerce, taking into account Law 7/1996 on the Regulation of Retail Trade, Law 7/1998 on General Contracting Conditions, and Royal Legislative Decree 1/2007 approving the revised text of the General Law for the Defense of Consumers and Users, and Law 3/2014.

Acceptance of these TERMS AND CONDITIONS constitutes a binding contractual relationship between you and the Provider, and registering for the Congress, signing up, and proceeding with payment implies full acceptance of these Terms and Conditions and acknowledgment of being fully informed of all provisions contained herein.

If you do not accept all the TERMS AND CONDITIONS, you will not be able to proceed with the registration process nor use the services offered by the Provider through this website.

All registered users also guarantee the truthfulness and accuracy of the personal data provided and agree to notify the Provider of any changes or modifications to them.

The Provider reserves the right (without being obliged) to request any official information to verify the truthfulness of the personal data provided.

If a registered user provides false, inaccurate, or incomplete information, and there are reasonable grounds to doubt its truthfulness, access to current and future use of the platform may be denied, and any ongoing contract may be canceled without prejudice to initiating the corresponding legal action.

CONGRESS REGISTRATION

The registration deadlines for the Congress are announced on the website.

Registrations will be accepted until the available capacity is reached. If the maximum number of attendees is reached, the Medical Society may reject new applications. The impossibility of registration due to full capacity will not entitle to any claim or compensation.

Congress registration generally includes access to sessions, seminars, competitions, practical cases, coffee breaks, and a certificate of attendance. The registration/registration section specifies the details of what each registration fee includes.

Registration Fees: The prices applicable are those listed on the website at the time of registration. The price is detailed alongside each registration option. VAT is included.

Confirmation: A confirmation email will be sent within 24 hours of receipt of the registration (except during weekends or holidays, in which case it will be sent on the next working day).

Registrations can be made individually or by a third party. In the latter case, the person registering another or a group declares to have obtained the explicit consent of the individual(s) registered to provide their personal data to manage their registration and participation. They also agree to hold the organizers harmless against any damage or claim arising from the processing of such personal data without the necessary consent.

CANCELLATION POLICY

Cancellation policy for registrations and other related products/services:

  • Cancellations received up to 1 month before the start of the Congress: no penalty.
  • Cancellations received between 30 and 10 days before the start: 50% penalty.
  • Cancellations received 9 days or less before the start: 100% penalty.
  • Name changes for canceled registrations can be made for €20 per change.

All cancellations and name changes must be communicated in writing to the Technical Secretariat.

Refunds (after deducting any cancellation fees) will be processed after the Congress concludes, provided that payment for the service/product was previously completed.

For accommodation cancellations, please consult directly with the Technical Secretariat as this is a subcontracted service.

VISA REQUIREMENTS

It is solely the attendee’s responsibility to handle visa requirements.

MODIFICATION OF THE CONGRESS PROGRAM

The organizing Medical Society reserves the right to modify the program without prior notice, including changes to speakers, schedules, or activities for organizational or force majeure reasons. Such modifications do not entitle attendees to refunds or compensation.

CANCELLATION OF THE CONGRESS

If the in-person Congress cannot be held due to reasons beyond the control of the organizing Medical Society and/or Bocemtium (force majeure) or for reasons not attributable to gross negligence or willful misconduct by the organizers, they will not be liable.

Attendees are advised to purchase travel and accommodation insurance with flexible cancellation policies, as the Medical Society and Bocemtium will not cover costs arising from the cancellation or rescheduling of the Congress.

ACCESS

Access to the Congress is limited exclusively to registered attendees. Accompanying persons or minors are not allowed, except in cases where a disabled attendee requires assistance, which must be notified in advance.

Seats in session rooms are limited. Registration does not guarantee a seat in all sessions. Access is on a first-come, first-served basis and subject to room capacity. No refunds will be issued for the unavailability of seating.

During registration, each participant must accept these General Terms and Conditions in accordance with the GDPR 2016/679 and Spanish Organic Law 3/2018.

Rights Regarding Personal Data

You may exercise your rights of access, rectification, deletion, limitation of processing, data portability, and objection, as well as the right not to be subject to automated decisions, by sending a request to: gdpr[at]bocemtium.com.

IMAGE RECORDINGS AND USE IN DIGITAL MEDIA

You are hereby informed that during the event, photographs and video recordings will be taken to document, promote, and disseminate the activities of the Medical Society on its social media channels, website, and other internal and external communication media, in strict compliance with current regulations on personal data protection and the right to one’s own image.

The legal basis for processing your image and/or voice is the legitimate interest of the Medical Society in promoting its activities, in accordance with Article 6.1(f) of Regulation (EU) 2016/679 (GDPR) and Organic Law 1/1982 of May 5, on civil protection of the right to honor, personal and family privacy, and one’s own image.

If you DO NOT wish your image and/or voice to be captured and used by the Medical Society, we kindly ask that you avoid areas designated for photo opportunities or audiovisual recording.

Nevertheless, if your image and/or voice appears incidentally, accessory, or in general shots, it may not be possible to guarantee your complete exclusion from the audiovisual material, as provided for in Organic Law 1/1982.

At any time, you may exercise your rights of access, rectification, erasure, opposition, restriction of processing, and data portability regarding your personal data, in accordance with the GDPR and Organic Law 3/2018 on Personal Data Protection and guarantee of digital rights, by sending a request to gdpr[at]bocemtium.com or to the postal address of the Medical Society.

SCIENTIFIC ABSTRACTS

Registered attendees may submit an abstract or work to the Congress. Guidelines are provided on the event website.

By submitting, the primary author confirms:

  • They have obtained the express consent and authorization of the co-authors to include their personal data (name, email address, workplace, professional category, etc.) in the submitted abstract or work.
  • They have obtained the express authorization of the institutions (hospital, clinic, university, etc.) mentioned in the abstract or work to include data, statistics, results, or procedures that have occurred or taken place within those institutions.
  • They can provide documentary proof of having obtained these consents if requested by the organization.

The Medical Society organizing the Congress and Bocemtium act solely as organizers and will not process, publish, or distribute works that infringe third-party rights. The main author assumes full responsibility for any claim arising from the unauthorized use of personal or institutional data in the submitted abstract or work.

DATA TRANSFER TO SPONSORS/EXHIBITORS

By registering for a workshop, symposium, coffee session, roundtable, or similar activity organized by a sponsor or participating company at the congress, the attendee agrees to the transfer of their personal data to said sponsor/exhibitor as part of the execution of the contract (Art. 6.1.b of the GDPR).

The sponsor/exhibitor may only use the data to send information related to the product or technical service presented during the session and may not use it for other purposes or transfer it to third parties.

Additionally, your personal data (name, email address, and medical specialty) will be transferred to the main sponsor of the event solely for the purpose of contacting you with information about products, services, or activities related to the congress.

Data retention period: Data will be retained by the sponsor/exhibitor only for as long as necessary for the stated purpose and, in any case, no longer than 6 months after the event, unless you establish a commercial relationship with said sponsor/exhibitor.

You may exercise your rights of access, rectification, erasure, objection, restriction of processing, and data portability in accordance with the GDPR and Spanish Organic Law 3/2018 on Personal Data Protection and guarantee of digital rights.

To do so, you may submit a request:

  • To the sponsor/exhibitor, using the email address or postal address they provide.
  • To the event organizers by writing to gdpr[at]bocemtium.com, who will manage your request with the corresponding sponsor/exhibitor.

SECURITY

Access to and use of this website is the responsibility of the user and implies acceptance of the applicable legal conditions, terms of use, and privacy policy. However, the provider implements security measures to protect information and ensure secure access to the website.

The provider reserves the right to modify or update the website and its functionalities whenever deemed necessary. Should these changes affect security aspects or the processing of personal data, users will be duly informed.

To protect information security, the website employs industry-standard security measures, including firewalls, access control, data encryption, and security protocols to prevent unauthorized access. Additionally:

  • All personal data transmitted during contracting or authentication processes are encrypted using the HTTPS protocol with SSL/TLS certificates to prevent unauthorized third-party access.
  • Authentication and access data are collected solely to verify the user’s identity, in accordance with the privacy policy and respecting the GDPR’s principle of data minimization.
  • Data stored in our systems is protected through encryption mechanisms and appropriate security measures to prevent unauthorized access or security breaches.

Users are also responsible for adopting appropriate measures to protect their access credentials and the devices used to access the website.
